Approving and rejecting content

In Pega Knowledge, the Approval stage provides an opportunity to review and edit content with a Pending-Approval status and the ability to reject content and add notes describing required improvements. By default, all new content drafts and edited content must be approved before they can be published.

Note: Only users with Approver and Publisher roles can approve content.

Approving content

  1. Log in to the Pega Knowledge portal as an Approver.
  2. Click the My work Queues tab. You will see a list of articles with the Pending-Approval status.

  3. Alternatively, Click Knowledge > All content then from the Status list select Pending-Approval as the Value.

  4. Find the article you want to approve, then click the Title.
  5. Click the Details tab and validate the content before approval.

  6. Optional: edit the content if necessary. KMApprover or KMPublisher roles can also approve their own edits.
    Note: For more information about editing content, see Maintaining content.
  1. In the Content approval section, select Approve and then click Submit.

You have successfully approved the content and sent it forward to the Publish stage.

Rejecting content

  1. If you want to reject content and send it back for edits, in the Content approval section select Reject and return for updates, then click Submit.
  2. In the Feedback field, enter a reason for rejection or any action items or edits necessary to the content before approval can occur.
  3. In the assign to list, choose where to assign the article:
    • The original author.
    • The version author
    • A specific work queue
  4. Click Submit.

You have rejected the content. After an author makes changes to the article, the article must be submitted for approval once more.

Expert approval

Expert approval routes a knowledge article to a subject matter expert for review before publication. Pega Knowledge™ triggers this review based on the category assigned to the article during authoring.

When an author submits an article for a category that requires expert approval, the system routes the article to the assigned expert, team, or work queue for review. If a category requires multiple expert approvals, the article does not move to the publishing stage until all required experts approve it.

Approvers can take one of the following actions:

  • Approve: After all required experts approve the article, the article moves to the publishing stage.
  • Reject: The expert provides feedback that describes the required changes. The expert chooses where to route the article between the original author, the version author, or a work queue.

Pega Knowledge provides out-of-the-box work queues to support this feature, including a work queue for expert approvals and a work queue for rejected drafts.
