The orchestration imperative

Enterprises do not fail because they lack software; they fail because they lack coordination. Work gets trapped in organizational silos, bouncing between disconnected systems, shared inboxes, and manual spreadsheets.

As a Solution Designer, look past complaints about "slow systems" or "too much data entry" to diagnose the structural void at the center of the enterprise: the lack of orchestration.

The diagnostic lens: Symptoms versus root causes

The following table shows common enterprise symptoms and their underlying root causes:

Work is fragmented. No overarching structure coordinates the sequence of events across departments.

Orchestration

Orchestration is not a single software feature. It is a combination of disciplines that keeps work moving in the right sequence, reaching the right participants or systems, adapting to real-world variation, and completing with end-to-end visibility.

For the Solution Designer, orchestration is the mechanism that connects the business intent captured in Pega Blueprint™ to its delivery in production. It relies on three core pillars: Case Management, Workflow Automation, and Robotic Process Automation (RPA).

Structuring intent (Case Management)

Real-world work is rarely linear. Fulfilling a loan or resolving a complex claim requires parallel approvals, exceptions, and inputs from multiple teams. Without structure, this work will fragment.

Case Management defined

Case Management organizes work as an end-to-end Case that represents a specific business outcome. The Case acts as a digital container for everything required to complete that outcome: the tasks, data, participants, decisions, and audit history.

Solution Designer application

Case Management is the foundational structure of your design. In Pega Blueprint™, you co-create this structure with your stakeholders in real time:

  • Problem framing: Instead of asking "What screens do you need?", ask "What is the ultimate business outcome we are trying to achieve?"
  • Blueprint co-creation: Break that outcome down into Case Types, and divide those into logical Stages and Steps. Identify where parallel processes occur and where subcases need to branch off.
  • Impact: Replace manual tracking and institutional knowledge with a visible, auditable system of work.

Driving performance (Workflow Automation)

After you have defined the structure of the work (the Case), define how the work flows through it.

Workflow automation defined

Workflow automation coordinates process steps. It defines what triggers an action, when that action occurs, and who or what is responsible for completing it. Workflow automation replaces manual handoffs and duplicated tasks with intelligent routing and automated decisions.

As you refine your Blueprint from an initial concept to a high-fidelity design, apply your Technology and AI Design Judgment to the workflow in the following ways:

  • Routing and automation: Determine which steps require human judgment and which can be fully automated using business rules, predictive AI, or generative AI.
  • Bottleneck elimination: Design Service-Level Agreements (SLAs) and automated escalations to prevent work from stalling.
  • Impact: Work becomes repeatable and scalable. Employees stop spending time determining where to route work next and focus on high-value, judgment-based tasks.

Bridging the gaps (Robotic Process Automation)

Not all enterprise systems support modern APIs. In practice, you will encounter legacy mainframes and third-party systems that cannot be integrated through standard connections.

Robotic Process Automation defined

Robotic Process Automation (RPA) is software that mimics human actions on a screen, such as clicking buttons, filling out forms, or looking up data.

Solution Designer application

RPA is a tactical execution tool. When a stakeholder raises concerns about manual data entry, the Solution Designer decides: Do we rebuild this legacy system, or do we use an RPA bot to bridge the gap?

Apply RPA in the following scenarios:

  • Attended RPA: Design a bot to work alongside a human user in real time (for example, to pull up account details from three different legacy applications when a customer calls).
  • Unattended RPA: Design a bot to run independently in the background (for example, to process batch updates overnight).
  • Impact: Deliver immediate productivity gains and eliminate manual data entry tasks without waiting for a multi-year legacy system replacement.
