Scenario

As part of its public awareness program, GrantsCo wants to understand the previous experience residents had in interacting with public awareness programs so that they can document the same and verify them. GrantsCo also wants to evaluate and review its checklist of experience in working for public awareness programs to go ahead with their program. As a system administrator, add the document intake and review checklist, and then configure evaluation and document verification as part of the application workflow. Then, as a system manager, confirm that the document verification process works as expected. 

The following table provides the credentials you need to complete this challenge:

Detailed Tasks

1 Add a document intake process

  1. Log in to App Studio as an Admin:
    1. In the User name field, enter pgpcosmossysadmin.
    2. In the Password field, enter rules.
  2. In the navigation pane of App Studio, click PGP > Document intake to begin configuring a document.
  3. In the upper-right corner, click New document to create a new document category.
  4. In the Purpose field, enter Grant.
  5. In the Document items section, click Add documents
  6. Configure the document items:
    Document type Actions
    Passport
    1. In the Document type field, enter Passport.
    2. Confirm that the Code field autopopulates with the same value.
    3. In the Description text box, enter Upload Passport as a proof of identity.

    Driver's License

    1. In the Document type field, enter Drivers's License.
    2. Confirm that the Code field autopopulates with the same value.
    3. In the Description text box, enter Upload Driver’s License as proof of age.
    Bank Statements
    1. In the Document type field, enter Bank Statement.
    2. Confirm that the Code field autopopulates with the same value.
    3. In the Description text box, enter Upload the latest Bank Statements as financial proof.
  7. In the upper-right corner, click Save.
  8. In the navigation pane of App Studio, click Case types > Grant to open the case type.
  9. In the Create stage, click Step > More > Processes > Document intake > Select to add a new step after the Send email step.
  10. In the step property pane on the right, configure the Document details section:
    1. In the Source list, confirm that By name is the default selection.
    2. In the Purpose list, select Grants.
  11. Click Save and run to display the New Grant dialog box in the Grants Management application.
  12. Complete the form details:
    1. In the Person ID list, select PERSONS-3, and then click Submit
    2. In the Passport row, click Add attachment to open the Add document landing page.
    3. In the Name field, enter Passport.
    4. In the Content text box, enter Passport, and then click Submit to close the Add document landing page.  
  13. Click Submit to close the New Grant dialog box and display the Grant case. 

2 Configure the view for document intake

  1. In the Grant case, on the right, expand the utility pane, and then confirm that a Passport document is in the Files & documents section.
  2. In the Capture person basic details section, click Configure this view to edit the view.

  3. In the configuration pane on the right, click Case information > Case main inner to edit the UI template of the case.

  4. In the Main content section, click the Add icon to access all the available tabs.
    1. In the list of tabs, in the Document intake tab row, click Add to view.
    2. Click the Close icon to close the list of available tabs. 
  5. In the Main content section, in the Document intake tab row, click the Edit this section icon.
    1. In the header of the design pane for the Document intake tab, click Settings.
    2. On the General tab, in the Container Settings section, in the New item field, enter Document intake, and then click Apply.
    3. Click the Close icon to return to the Document intake tab section.
  6. Click the Close icon to return to the Grant case.
  7. In the summary panel on the left, click the Document Intake tab, and then confirm that the document types you configured are displayed.

3 Add a review checklist and review step

  1. In the navigation pane of App Studio, click PGP > Review checklist to begin configuring a checklist.
  2. In the upper-right corner, click New checklist to create a new review checklist.
  3. In the Purpose field, enter Grant.
  4. In the Checklist items section, click Add checklist item
  5. Configure the document items:
     
    Checklist item Actions
    Identification document
    1. In the Label field, enter Identification document.
    2. Confirm that the Code field autopopulates with the same value.

    Land registration document

    1. In the Label field, enter Land registration document.
    2. Confirm that the Code field autopopulates with the same value.
    Finance document
    1. In the Label field, enter Finance document.
    2. Confirm that the Code field autopopulates with the same value.

  6. In the upper-right corner, click Save.
  7. In the navigation pane of App Studio, click Case types > Grant to open the case type.
  8. In the case life cycle, to the right of the Create stage, click Stage, and then enter Review.
  9. In the Review stage, hover, and then click Step > More > Processes > Review checklist > Select to add a step to the stage.
  10. In the step property pane on the right, configure the Checklist details section:
    1. In the Source list, confirm that By name is the default selection.
    2. In the Purpose list, select Grant.
  11. Click Save and run to display the New Grant dialog box in the Grants Management application.
  12. Complete the form details:
    1. In the Person ID list, select PERSONS-6, and then click Submit.
    2. Click Submit to advance to the Review checklist.
    3. In the Review checklist stage, select the following checkboxes:
      • Identification document
      • Land registration document
      • Finance document
    4. Click Submit to submit the checklist.

4 Configure the view for the checklist

  1. In the Capture person basic details section, click Configure this view to edit the view.

  2. In the configuration pane on the right, click Case information > Case main inner to edit the UI template of the case.

  3. In the Main content section, click the Add icon to access all the available tabs.
    1. In the list of tabs, in the Checklist details tab row, click Add to view.
    2. Click the Close icon to close the list of available tabs.
  4. In the Main content section, in the Checklist details tab row, click the Edit this section icon.
    1. In the header of the design pane for the Checklist details tab, click Settings.
    2. On the General tab, in the Container Settings section, in the New item field, enter Checklist details, and then click Apply.
    3. Click the Close icon to return to the Checklist details tab section.
  5. Click the Close icon to return to the Grant case.
  6. In the summary panel on the left, click the Checklist details tab, and then confirm that the document types you configured are displayed.

5 Add evaluation criteria

  1. In the navigation pane of App Studio, click PGP > Evaluation criteria to begin creating evaluation criteria.
  2. In the upper-right corner, click New criteria to create a new evaluation type.
  3. In the Purpose field, enter Grant.
  4. In the Evaluation type section, click Add evaluation item
  5. Configure the document items:
     
    Evaluation item Actions
    Financial Criteria
    1. In the Evaluation criteria field, enter Financial Criteria.
    2. Confirm that the Evaluation code field autopopulates with the same value.
    3. In the Maximum score field, enter 100.
    4. In the Weight field, enter 50.

    Personal Criteria

    1. In the Evaluation criteria field, enter Personal Criteria.
    2. Confirm that the Evaluation code field autopopulates with the same value.
    3. In the Maximum score field, enter 100.
    4. In the Weight field, enter 50.
  1. In the upper-right corner, click Save.
  2. In the navigation pane of App Studio, click Case types > Grant to open the case type.
  3. In the Review stage, click Step > More > Processes > Evalutate > Select  to add a new step after the Review checklist step.
  4. In the step property pane on the right, configure the Evaluation details section:
    1. In the Source list, confirm that By name is the default selection.
    2. In the Evaluation type list, select Grant.
  5. Click Save and run to display the New Grant dialog box in the Grants Management application.
  6. Complete the form details:
    1. In the Person ID list, select PERSONS-6, and then click Submit.
    2. Click Submit to advance to the Review checklist.
    3. In the Review checklist section, select the Identification document checkbox.
    4. Click Submit to submit the checklist.
    5. In the Evaluate stage, in the Financial Criteria row, in the Score field, enter 87.
    6. In the Personal Criteria row, in the Score field, enter 83, and then click Submit.

Tip: You can modify the value in the System recommendation section in Dev Studio. Search and open ‘EvaluationSystemRecommendation’ decision table rule. Modify the Type column value to 'Grant' and Modify the Percentage accordingly in the decision table.

6 Configure the view for evaluation criteria

  1. In the Capture person basic details section, click Configure this view to edit the view.

  3. In the Main content section, click the Add icon to access all the available tabs.
    1. In the list of tabs, in the Evaluation info tab row, click Add to view.
    2. Click the Close icon to close the list of available tabs.
  4. In the Main content section, in the Evaluation info tab row, click the Edit this section icon.
    1. In the header of the design pane for the Evaluation info details tab, click Settings.
    2. On the General tab, in the Container Settings section, in the New item field, enter Evaluation info, and then click Apply.
    3. Click the Close icon to return to the Evaluation info tab section.
  5. Click the Close icon to return to the Grant case.
  6. In the summary panel on the left, click the Evaluation info tab, and then confirm that the document types you configured are displayed.

7 Add the Verify stage and an alternate stage to the Grant case

  1. In the navigation pane of App Studio, click Case types > Grant to open the case type.
  2. In the case life cycle, to the right of the Review stage, click Stage, and then enter Verify.
  3. In the Verify stage, hover, and then click Step > More > Processes > Verify document > Select to add a step to the stage.
  4. In the step property pane on the right, configure the Routing details section:
    1. In the Route to section, select Work queue.
    2. In the Source list, select By name and provide ApplicationRequestReviewWB as Workqueue name
  5. In the case life cycle, in the Data & Interfaces section, click Alternate stage, and then enter Reject.
  6. Click the Verify stage, and in the step property pane on the right, in the Reject stage list, select Reject.
  7. Click Save and run to display the New Grant dialog box in the Grants Management application.
  8. Complete the application details:
    1. In the Person ID list, select PERSONS-6, and then click Submit.
    2. Click Submit to advance to the Review checklist.
    3. In the Review checklist section, select the following checkboxes:
      • Identification document
      • Land registration document
      • Finance document
    4. Click Submit to submit the checklist.
    5. In the Evaluate section, in the Financial Criteria row, in the Score field, enter 98.
    6. In the Personal Criteria row, in the Score field, enter 94, and then click Submit.
    7. In the Verify stage, confirm that Verify Document is displayed as a to-do item.
  9. In the lower-left corner of App Studio, click the user icon, and then select Log off to log out of App Studio.

Confirm your work

  1. Log in to the Grants Management Applicatoin as a Manager:
    1. In the User name field, enter pgpcosmossysmanager.
    2. In the Password field, enter rules.
  2. In the My worklist section, click the arrow, and then select the Application Request review workbasket to open the work queue.
  3. In the work queue, click on the respective Grant case to open the Verify Document task.
  4. In the Verify stage, in the To Do section, click Go to start the Verify document task.
  5. In the Verify document section, in the Document review section, select Approve, and then click Submit to verify the documents.
