Gen AI-based Prepare for meeting
Introduction
As a sales representative or a sales manager, use the Prepare for meeting capability to get the most out client meetings. Prepare for meeting uses Pega GenAI™ to provide action items and correspondence summaries that assist sales representatives in efficient meeting preparation. Moreover, Prepare for meeting can also use relationship intelligence and Pega GenAI Knowledge Buddy™ to generate relevant action items.
Accessing Prepare for meeting
To access the Prepare for meeting analysis for the newly created appointment, in the summary panel of the selected appointment, select the Prepare for meeting tab.
The Prepare for meeting tab is divided into the following sections: Attendees, Action items, Talking points and insights, and Opportunities.
Attendees
The Attendees section is a comprehensive list of all contacts, leads, and other external attendees participating in a meeting. This includes individuals who have been invited, those who have accepted the invitation, and people to whom the meeting was forwarded. By accessing the sentiment link for an attendee, clicking on the sentiment indicator displays one email and one meeting from the past that had the greatest impact on the overall sentiment. For example, in this case, Abel Amigon has an overall negative sentiment, so the email and meeting shown are the most significant contributors to that sentiment. The interface further highlights specific dialogues or statements within these interactions that influenced the sentiment score.
This sentiment analysis feature allows you to recognize patterns in the attendee's sentiments over time, which can help you tailor your communication and approach to address their concerns effectively.
Action items
The Action Items section provides a list of tasks and suggestions that sales representatives can perform to improve their meeting outcomes. These suggestions are powered by Pega GenAI, Relationship Intelligence, and Pega Knowledge Buddy, delivering insights and recommendations tailored to each meeting. Examples of suggestions include reviewing LinkedIn profiles of new attendees, adding a different team member with a stronger relationship to the meeting, and reviewing relevant articles before the meeting. Pega GenAI can also generate direct suggestions, such as sending an email with a comparative analysis that might interest the customer. By clicking "Go" next to an action item, sales representatives can easily create the suggested Task, Email, or Appointment cases.
Talking points and insights
The Talking points and insights section provides sales representatives with a list of suggested topics and insights to cover during their meetings. These suggestions are generated by Pega GenAI, which analyzes relevant data and information to create tailored talking points for each meeting. By following these recommendations, sales representatives can ensure they address key concerns, highlight essential product features, and showcase their expertise to clients and prospects.
Opportunities
The Opportunities section presents a list of all opportunities related to a specific meeting, enabling sales representatives to easily access and review them. By clicking on an opportunity, the sales representative can open the specific case type associated with it.
Correspondence timeline tab
The Correspondence Timeline tab provides a visual summary of past emails and meetings with attendees for a specified duration. This feature allows sales representatives to quickly review and analyze previous interactions, helping them identify key discussion points, address any outstanding concerns, and tailor their approach for each meeting. By clicking on an email or meeting within the timeline, sales representatives can easily open the email or appointment case for further details and context.
When the Prepare for meeting analysis is generated, the system creates a PDF with the same data, sends it by email to the appointment owner, and attaches it to the appointment. This PDF serves as a quick reference for sales representatives to review the Prepare for meeting data.
