Draw directly on the Process Map to define the activities that you want to include in a time-based KPI.

Before you begin:

Ensure that the Process Map shows the activities that you want to include in the time-based KPI. For example, if you are interested in average duration from the Assigned activity to the Received activity, ensure that both of these activities are currently visible on the Process Map.

  1. On the Process Map, click the ruler icon, as shown in the following diagram:

    Result:

    The Process Map graph dims to indicate that you can draw on the map to measure the time between activities.
  2. Click and hold on the From activity that you want to include in the KPI and then drag the red line to the To activity.

  3. Release after the red line reaches the correct To activity, based on how you want to define the KPI.

    Result:

    The Process Map shows a black line with endpoints and arrows that follow the path that you drew and displays a card. This card lists Duration and Count metrics for the specific slice of data, such as the average time spent transitioning from Assigned to Received.
  4. In the card, click Actions > Create time-based KPI, as shown in the following figure:

  5. In the Manage KPI dialog box, in the KPI Name field, enter a name for the KPI.

    For example:

    Entering a name that includes the From and To activities, such as Assigned -> Received is helpful, particularly if you want to add this KPI to a custom dashboard. Dashboards use the KPI name as the widget heading.
  6. Optional: To further describe the purpose of this KPI, complete the Description field.
  7. On the Time-Based tab, which is pre-selected for you, in the Calculate duration between section, verify that the fields accurately reflect the KPI that you want to create, and make new selections, if needed.

    For example:

    Use these fields to define where the calculation begins and ends at a more detailed level. In addition, if your Process Map drawing did not reflect the activities that you wanted to include, then you can change the activities here. In the following diagram, the KPI calculates from the first occurrence of the Assigned activity to the last occurrence of the Received activity.
    The Calculate duration between section provides occurrence fields to further define the start and end point of the calculation. The activity fields list all of the activities in the data source in case you want to change the activity selections.

  8. In the Aggregation field, click the radio button that defines how you want the system to aggregate the data when calculating this KPI.
    The following list describes the available aggregation operations:
    None
    Displays all durations from one activity to another instead of aggregating the numbers in any way. If you plan to use this KPI to create an alert condition, then you must select None. The system does not include KPIs with aggregated data as an option for alert conditions.
    Avg
    Averages all of the durations between the two activities.
    Sum
    Adds all of the durations between the two activities.
    Max
    Displays the highest duration detected between these two activities.
    Min
    Displays the lowest duration detected between these two activities.
    Count
    Displays the number of times that this path between the two activities occurred.
  9. To see the KPI value based on your selections, click Run preview and view the results, as shown in the following figure:
    Clicking Run Preview shows you the value of the KPI based on your selections. In this example, the duration is aggregated by average.

  10. Optional: To share this KPI with aUser Group, click the Share KPI with Groups bar and make your selections in the dialog box, as shown in the following figure:

  11. Click Save.
  12. Optional: To create another KPI, at the top of the list of existing KPIs, click New KPI.
  13. When you are done creating KPIs, click Close to exit the Manage KPI dialog box.
