You can apply key performance indicators (KPIs) to several areas of Pega Process Mining. For example, in addition to using KPIs to check metrics in a View, you can also add KPIs to custom dashboards.

Accessing KPIs

In a View, in the header of the application, click the Data Options (gears) icon, and select Manage KPIs.
Clicking the gears icon in the header expands a menu that includes Manage KPIs.

The Manage KPIs dialog box lists any existing KPIs on the left and provides blank fields for you to create a KPI, as shown in the following figure:

In the KPI Name field, enter a name that makes it easy to know the purpose of this KPI and to find and select it later. You can optionally further describe the goals and purpose of the KPI in the KPI Description field. After completing these basic fields, the steps for creating the KPIs vary based on how you want to build the KPI. You can select a build method by clicking one of the following tabs:
  • Basic: Use a simple interface with clickable components build the KPI conditions.
  • Time-Based: Build a KPI that calculates the duration between two activities.
  • Advanced: Use an advanced interface to enter a SQL query to process the KPI information.

On the Basic tab, you can use the drop-down lists and operator buttons to build a KPI, as shown in the following figure:

When using the Basic tab, you must define a KPI type that determines the format of the KPI by selecting one of the following values:
  • Number
  • Category
  • Interval

Time-Based KPI example

On the Time-Based tab, you can use the calculation drop-down lists to define the duration for the KPI to capture and how to aggregate the data. For time-based KPIs, the KPI Type is always Interval, so you do not have to select the type on this tab.

The following figure shows a time-based KPI that calculates the duration from the first occurrence of the On the Way activity to the last occurrence of the Success activity:

On the Advanced tab, you can enter SQL expressions to define the KPI, as shown in the following figure:

When using the Advanced tab, you must define a KPI type that determines the format of the KPI by selecting one of the following values:
  • Number
  • Category
  • Interval
  • Category, Number
  • Table
  • Percentage
This list includes more options beyond the KPI Types on the Basic tab. The following figure shows the KPI Type list on the Advanced tab:

NOTE: If you plan to use a KPI that you create from the Advanced tab to later define an alert condition, then the SQL query must generate a Case ID column. KPIs must generate a list of Cases if you want to use them to create alerts.

Previewing KPIs

Previewing the KPI helps you to verify that the application displays the KPI in the expected format. If you used the Basic or Advanced tab to create the KPI, the preview is an effective way to ensure that you selected the KPI Type that you intended. In the following figure, clicking Run preview shows that the KPI is expressed as a number:

Sharing KPIs

You can share KPIs with other users by selecting User Groups. When you do this, users that belong to the groups you select can see the KPI listed when they access Manage KPIs. These users also see the KPI as an available input on custom dashboards.

To share the KPI with other users, click the Share KPI with groups bar and select the groups to which you want to share the KPI, as shown in the following figure:
